1. Information we collect
Personal Information is information about an identifiable individual, such as your name, address, email address, phone number, date of birth, identification and the details of your property transaction. Business contact information used to communicate with you in a professional capacity is not treated as Personal Information.
We also collect Non-Personal Information, such as IP addresses, browser type, pages visited and aggregate usage statistics. We collect it through cookies, web beacons and analytics tools, including Google Analytics, to understand how the Site is used and to improve it.
2. How we use Personal Information
We use Personal Information to provide the services you ask for, including preparing your quote, retainer and closing documents, verifying your identity as the Law Society of Ontario requires, and communicating with you about your file. If you have opted in, we may also send you marketing email. We may use Personal Information where needed to address legal or regulatory matters.
We run your file on secure, paid software, some of it AI-assisted. Your information is not used to train anyone's systems, we do not use free or consumer AI services, and a person reviews everything.
3. When we disclose Personal Information
We will not sell or rent your Personal Information to anyone.
We share it only as needed to complete your transaction (for example with your lender, the title insurer, the land registry, your brokerage or mortgage broker, and the other side's lawyer), with service providers acting on our behalf, with your consent, as required by law or by the Law Society of Ontario, or as part of a reorganization, merger or sale of our business.
4. Links to other sites
The Site may link to websites run by others. We are not responsible for their content or privacy practices.
5. Security and storage
We take reasonable measures to protect Personal Information against loss, theft and unauthorized access. Some information is stored by our service providers, and some of it may be stored or processed outside Canada, where it may be subject to the laws of that jurisdiction. Please send sensitive documents through your client portal rather than by email.
We keep your file for the period the Law Society of Ontario requires, then destroy it securely.
6. Changes to this policy
We may change this policy from time to time. Changes take effect when they are posted on this page.
7. Additional terms
Particular services may come with their own privacy terms, such as those in your retainer agreement. Where they do, those terms add to this policy.
8. Accessing and updating your information
You can ask whether we hold Personal Information about you, ask to see it, or ask us to correct it by emailing hello@iclosed.ca.
9. Sites this policy covers
This policy applies to iclosed.ca, the iClosed client portal and any other website, page or subdomain branded iClosed that iClosed LLP owns and controls (the "Site").
10. Questions
Questions or concerns about this policy can be sent to hello@iclosed.ca.
